Privacy policy

This page describes exactly what this website stores and why. It is written to match what the site actually does.

Who is responsible

Sortx Software Ltd, company number 17132612, registered office Flat 9 Lowood House, Bewley Street, London, E1 0BT, England, is the data controller for this website. For any privacy question or request, email hello@closewise.uk.

What the forms collect

The waitlist and design-group forms are optional. When you submit them we store:

  • your email address, which is required and is saved as soon as you enter it (so a partly completed form still counts as a lead);
  • the product you are interested in, and which page and form you used (for example, the waitlist on the home page);
  • any optional answers you choose to give: your name, company, website, role, team size, industry, the use case that matters most to you, the tools you use today, what hurts most, your urgency and budget range, whether you want to join the design group, what you would want CloseWise to do if you join it, how you heard about us, and whether you consent to marketing;
  • technical details recorded automatically: the referring page, any UTM campaign parameters in the link you arrived from, your browser's user-agent string, and a one-way hash of your IP address. We store the hash, not your raw IP address; it is used to rate-limit abuse and cannot easily be reversed.

This data is stored in a self-hosted PocketBase instance on our own server, with access restricted to Sortx Software Ltd, and is used to reply to you about CloseWise and to understand interest in the product. If you tick the optional marketing box we may email you updates; you can withdraw that at any time by emailing us or using the unsubscribe link in an email.

Emails we send

Each accepted signup creates its own retained submission, even when the email address has been used before. We send a confirmation with a link to continue that submission, limited to one email per address within an hour. Further submissions are still saved and can be completed immediately, but do not receive another email during that period. We also receive a signup notification and, on completion, a notification with your answers. Email is delivered through Purelymail, which processes the message on our behalf.

Cookies, local storage, analytics and advertising

The site itself sets no cookies of its own. Your cookie choice is stored in your browser's localStorage under the name closewise-consent. You can change or withdraw it at any time with the Cookie choices link in the site footer, which reopens the consent banner.

While you are filling in a form, your browser also keeps the answers you have given so far — including your email address and the code that lets you carry on later — in that tab's sessionStorage under the name closewise-lead-flow. That is what lets you navigate between pages and still pick up where you left off. It stays in your browser, is cleared when you finish the form, and is gone when the tab closes.

We also keep the arrival campaign parameters, referral code and referring page in that tab's sessionStorage under closewise-arrival-attribution, so your signup retains its source as you navigate. This is cleared when the tab closes.

With your consent, we use Google Tag Manager and Google Analytics 4 to understand how the site is used, and advertising and measurement tools — the Meta Pixel, Microsoft Clarity, and the Microsoft Advertising UET tag — to measure the performance of our ads. These tools may set cookies or similar identifiers and may share data with those providers. Google Consent Mode v2 is set to deny analytics_storage, ad_storage, ad_user_data and ad_personalization by default; accepting the banner grants them. The advertising tools and Clarity are only loaded after you accept. If you decline, they do not load and analytics storage stays denied.

If you withdraw consent after accepting, we deny Google Consent Mode storage again, revoke consent with the Meta Pixel and Clarity where those tools support it, stop sending them our events, and reload the page so the tags already running stop. We cannot delete data those providers recorded before you withdrew; to have that removed, contact them or email us and we will help.

These tools receive the events we record (for example, that a waitlist step or completion happened) together with the product name, so that ad conversions can be measured.

How long we keep it

We keep lead data while the product is in pre-launch and until you ask us to delete it, or until it is no longer useful for the purpose above, then we delete it. The one-way hash of your IP address is stored on your lead record for abuse prevention and is kept for as long as we keep the lead.

Separately, each attempt to start a form that we accept — whether or not it creates or changes a lead — adds a row to a short-lived abuse-prevention log holding only the one-way hash of the IP address, the product, and the time. An attempt refused by that hourly limit adds no row. That log carries no email address and nothing that links a row back to you or to a lead, which also means a deletion request cannot single those rows out. We keep it for two days and then delete it.

Your rights

Under UK data protection law you have the right to access, correct, or delete your personal data, to object to or restrict its processing, and to withdraw consent. To exercise any of these, email hello@closewise.uk. You also have the right to complain to the UK Information Commissioner's Office (ICO).
